We are looking for our next Office Coordinator! Reporting to the Manager, Office Services, you will be invovled in all office duties including supplies ordering, maintenance of office and equipment, meeting room set up and take down, restocking the kitchens, incoming and outgoing mail, incoming and outgoing courier, distribution of faxes, all reception duties, etc. This is an on-site position based out of our Support Centre in Mississauga! Responsibilities:
  • Greet and direct internal and external visitors
  • Answer, screen and direct telephone calls
  • Maintain a clean and professional reception area
  • Maintain office equipment, including copier, printers, telephones
  • Handle office maintenance requests with property management company
  • Maintain mail room, including: tidiness; weekly inventory of stationary and supplies, keep stationary room fully stocked
  • Maintain storage room and printer stations, including: tidiness
  • Distribute all incoming faxes
  • Coordinate all mail and courier services: distribute incoming deliveries; arrange pick-up of outgoing courier, outgoing mail
  • Boardroom and Meeting Room booking using electronic calendar
  • Arrange catering for meetings in the Boardroom and Meeting Rooms, including set up of Boardroom and Meeting Room for meetings, and clean up
  • Maintain cleanliness of the Boardroom and Meeting Room
  • Maintain company directory
  • Order business cards
  • Distribute Rogers billing
  • Tend to daily email, mail and couriers; collect, consolidate and distribute incoming and outgoing paperwork
  • Compose daily correspondence (memos, letters, faxes, reports, email) as required
  • Maintain electronic calendar
Qualifications:
  • 2-3 years\xe2\x80\x99 experience in a similar role
  • Post-secondary education or equivalent in office administration (asset)
  • Computer skills to include MS Office (Word, Excel, Power Point with the ability to create, manipulate spreadsheets and data management
  • Effective communication skills (written and verbal)
  • Strong customer service skills
  • Able to work well under pressure and meet tight deadlines in fast paced work/office environment
  • Fire Warden/First Aid Certified
