Economic Development Lethbridge (EDL) is an independent not-for-profit organization governed by a volunteer 31-member Board of Directors. The mandate of the organization is to strengthen and diversify the Lethbridge region economy by initiating and facilitating proactive economic development strategies and promoting our great city as an excellent place to live, learn, invest, experience and do business.
The Office Coordinator is responsible for internal bookkeeping as well as operational requirements that support the EDL mandate to facilitate proactive economic development strategies and to create awareness of Lethbridge. They provide excellent service and administrative assistance and support effective coordination with clients, vendors and staff.
Key Accountabilities/Responsibilities
Internal bookkeeping which ensures the accurate representation of EDL's financial transactions to ensure informed decisions.
Operations
Maintain financial, accounting, and administrative records to support business processes in order to meet organizational requirements and support specific projects. This includes processing and payment of invoices, A/R invoicing, month end financial reports, bank reconciliations, grant reporting and preparation of year end audit binders.
Assist with process development in accounting, human resources and administrative areas.
Work with the leadership team to prepare annual budgets.
Effective communication with staff regarding relevant financial matters.
Develop and maintain excellent relationships with external vendors and clients.
Maintain and manage consumable replacements for office equipment.
Maintain filing systems, office supply volume and office appearance.
Assist with the coordination of fixing simple problems and contacting the appropriate technicians to troubleshoot more complex issues (general upkeep of EDL facility).
Provide support for AGM planning and Team Lethbridge initiative. o Actively participate in all staff meetings and planning sessions.
Skills and Know-How
Post-secondary credential or a minimum of 5 years in a related field.
Formal training or a credential in accounting with a working-level knowledge of general accounting principles and experience with QuickBooks software.
Ability to work productively as an individual or on a team basis.
Must be able to work with and protect confidential information.
Excellent communication and interpersonal skills.
Fine attention to detail.
Well-developed organizational skills.
Excellent computer and word processing skills with a strong background in Microsoft software applications.
Ability to operate flexibly in a fast-paced environment.
Decision Making
Decisions are made under the guidance and direction of the CEO and Director, Operations, recognizing that shared decision-making and teamwork form the broader context.
Results
Budget development completed in October/November each year to be approved at the December Board meeting.
Audit process completed in January/February each year to be presented at the AGM in March.
All invoices and payables are processed appropriately, and the relevant records meet generally accepted accounting principles.
EDL meets its obligations and commitments to employees, vendors, partners and funders.
