Office Coordinator

Key Responsibilities:



Office Admin & Client Support (Office Team)



Serve as the first point of contact for clients--both in person and over the phone, ensuring a great customer experience end to end. Answer incoming calls and emails, handle inquiries, and return messages promptly. Manage incoming/outgoing mail, accept deliveries, and handle pickups. Support the estimation team with documentation, measurements, and general office organization. Maintain accurate records and ensure timely completion of office tasks.

Scheduling & Coordination (Office Team)



Own the scheduling process, updating calendars for the field crews and office team with appointments, site visits, and deliveries. Coordinate the flow of information from initial point of contact, through estimation, and final follow-through. Support light commercial scheduling and coordination tasks.

Order Processing & Inventory Support (Shop Team)



Process orders and enter deposit information accurately. Provide parts quotes and assist with parts coordination. Manage and update the stock program inventory.

Qualifications:



Previous experience in a role that required a strong organization and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Excellent communication and customer service skills, and a positive attitude. Ability to learn internal systems, order processing software, and basic measurement requirements. Able to work independently or as part of a team. Excellent organizational and time management skills Strong attention to detail and accuracy Ability to handle multiple tasks and prioritize responsibilities

involves managing incoming calls, greeting walk-in clients, and keeping the front office running smoothly. Throughout the day, they update schedules and ensure information flows accurately between clients, estimation, and the rest of the team. They process orders, handle deposits, and respond to emails while keeping documentation organized and up to date. The

Office Coordinator

may assist with measurements and provide parts quotes as needed.
