The Role:


We're seeking a reliable, energetic

Office Coordinator

who can juggle a variety of tasks with professionalism and a smile. This is an ideal role for someone who enjoys organization, thrives on communication, and isn't afraid to roll up their sleeves and get things done.

Key Responsibilities:



Answer incoming calls and respond to emails professionally and promptly Schedule and coordinate internal meetings and casual employee events (e.g. holiday gatherings, team lunches) Review customer quotes, and revise quotes as needed. Experience with QuickBooks is an asset. Process sample requests, follow up on missing details, and ensure accurate fulfillment Prepare packages and book courier pick-ups (e.g. FedEx, UPS) Act as a go-to support person for various departments, including Production, Project Management, Finance, Logistics, and Purchasing Identify gaps or inefficiencies in internal processes and suggest improvements Maintain a positive and approachable presence in the office Ensure basic office tasks are completed efficiently and with attention to detail

What We're Looking For:



Proven experience in an office environment or similar custom manufacturing environment with multi-tasking responsibilities Experience reading shop drawings, working with samples, and understanding materials and finishes from a technical and design perspective is an assetExcellent communication skills - written and verbal Proficiency with Microsoft Office, Outlook, Excel. Some experience with SharePoint, Wrike or willingness to learn quickly. Strong attention to detail and ability to spot when something is missing or off-track A "workhorse" mentality - reliable, hard-working, and proactive A fun, friendly, and team-oriented attitude Ability to take initiative and improve processes Completed high school diploma (post-secondary education an asset but not required) Must reside in the Waterloo-Kitchener-Cambridge region and be able to work on-site
