Job Summary:

The Office and Project Assistant will be key in assisting prospective customers, supporting sales and project coordination, and handling administrative tasks. The ideal candidate will work closely with account managers, the accounting team, and subcontractors to ensure smooth office operations and efficient project execution.

Responsibilities:Sales & Customer Support:

• Assist prospective customers at reception and provide inside sales support.
• Support Account Managers with data input for CFS, preparing quotes, processing work orders, and coordinating with subcontractors.

Project Coordination & Administrative Support:

• Coordinate schedules between sales, clients, and subcontractors to facilitate project management.
• Prepare reports and track project progress.
• Manage office operations, including filing, documentation, and maintaining a clean and organized workspace.
• Handle phone calls at reception and provide general administrative support.

Accounting Support:

• Assist in preparing job cost summaries, invoicing, purchase orders, and tracking accounts payable and receivable.
• Support collections, credit management, and cash receipt processing.

Hands-On Learning & Career Growth:

• Participate in cross-training with the logistics and production team to develop an understanding of products, production, and logistics.

Qualifications:Education & Experience:

• Diploma or certificate in Business Administration, or a related field preferred.

Skills:

• Strong organizational and multitasking abilities.
• Excellent communication skills, both written and verbal.
• Ability to collaborate effectively with internal teams and external partners.

Assets:

• Experience with software tools such as QuickBooks, Google Workspace, Microsoft Office, Basecamp, Trello, and CFS (Computer Fencing Software).
• Previous experience in sales support, project coordination, or administrative roles.
• Knowledge of job costing and accounting principles.
