Office and Human Resources Administrator Office Functions
Provide front of office support including first point of contact for all individuals coming into the office
Respond to telephone, e-mail and in-person inquiries from employees, clients, business partners, and all other stakeholders in a professional, pleasant and courteous manner.
Ensure visitors follow sign-in procedures
Maintain effective communication, information flow, and rapport between all team members in Lethbridge and Calgary
Administer and manage inbound/outbound mail, including priority post, packages, courier services and accounts payable to our head office
Book maintenance appointments for fleet vehicles
Order office supplies and ensure supply area is stocked and monitored
Provide clerical support as needed including, but not limited to the Executive team, Client Service Managers and the People and Culture team such as filing, coordinating appointments and arranging meetings
Recruitment Functions
Full cycle recruitment including posting jobs on the Paladin website and on external recruitment sites when provided staffing requests
Review each applicant\xe2\x80\x99s eligibility for hire
Screen resumes and determine which candidates will continue to the interviews stage
Administer English proficiency exams to applicants before their interview
Complete application phone screens
Send new hire paperwork and organize onboarding training and orientation
Conduct reference checks
Manage the uniform process and inventory for new and existing staff
Support the People and Culture team during career fairs and open house interview days
Human Resources functions
Responsible for all administrative functions; file management and completion, data entry, immunization records and general inquiries to the department
Ensuring 100% accuracy while uploading electronic files and filing physical copies
Responsible for new employee photo collection and upload, with monthly audits to ensure all employee files have photos
Action compliance alert emails and updates ensuring all stakeholders receive communication and all information is 100% accurately updated
Monitor employee licensing and training, responsible for notifying Client Service Mangers and Portfolio Resource Coordinators of expiries
Manage, administer and track employee purchase orders
Other duties as required
QUALIFICATIONS
Must possess a High School Diploma; Post-secondary education in a related field is an asset
Excellent written and oral skills in English, with the ability to effectively communicate with all levels of management
Strong computer skills; including Word, Excel, PowerPoint and Outlook
Able to work effectively and efficiently in a deadline driven environment
Strong time management, multitasking, problem solving, team work and organizational skills
Must be outgoing, sociable, adaptable, and detail oriented
Must have a strong propensity to detail
Prior experience in Human Resources is considered an assest
Must have prior experience in an adminstrative capacity

They will be responsible for the office administration and People and Culture (HR) support for Paladin Security\xe2\x80\x99s Southern Alberta operations, located out of Red Deer, Alberta. This is a hands-on role that will require an individual who is a self-starter with a propensity to detail and a proven track record of working in a team dynamic environment while delivering exceptional customer service to both clients and staff. This role with work closely with the Regional Manager, People and Culture in Calgary and the Director, People and Culture to ensure that we are following best practices to provide the utmost service possible to our greatest resource, our people. Please note, there will not be options to work remotely in this role and has office hours of Monday \xe2\x80\x93 Friday, 8:30am \xe2\x80\x93 5:00pm.
