We are seeking a detail-oriented and organized Office Administrator to join our team. The Office Administrator will be responsible for overseeing daily office operations, managing administrative tasks, and ensuring the office runs smoothly.
Responsibilities
:
Greeting Visitors:
Welcoming and directing visitors in a friendly and professional manner.
Answering Phones:
Handling incoming calls, transferring calls, and taking messages.
Managing Inquiries:
Responding to emails and inquiries from clients, customers, and employees.
Scheduling:
Managing calendars, scheduling appointments, and coordinating meetings.
Mail Handling:
Sorting and distributing incoming mail, managing outgoing mail and courier services.
Document Management:
Creating, editing, and filing documents, both physical and digital.
Office Supplies:
Monitoring and ordering office supplies, ensuring stock levels are maintained.
Data Entry:
Entering and updating data in spreadsheets, databases, and other systems.
Correspondence:
Drafting and sending out official correspondence and memos.
Office Management.
Facility Management:
Coordinating office maintenance and repairs, liaising with building management.
Equipment Management:
Ensuring office equipment is properly maintained and functional.
Health and Safety:
Ensuring the office complies with health and safety regulations and maintaining a safe working environment.
Event Planning:
Assisting in organizing office events, meetings, and conferences.
Financial Duties.
Budget Tracking:
Monitoring office budget and expenses, reporting any discrepancies.
Assisting Executives:
Providing administrative support to executives and other staff members as needed.
Internal Communication:
Facilitating effective internal communication by distributing information and updates to staff.
Customer Support:
Providing exceptional customer service to clients and customers, addressing their needs and resolving issues promptly.
Project Assistance:
Assisting with special projects and tasks as assigned by management.
Training Support:
Helping new employees with onboarding and providing training on office procedures and systems.
Requirements:
- Proven experience in an administrative role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to prioritize tasks
- Knowledge of office management procedures
- Excellent communication skills, both written and verbal
- Familiarity with phone systems and office equipment
- Ability to work independently and as part of a team
- Attention to detail and problem-solving skills
