Ausenco Sustainability is a +500 professionals? group with a very active portfolio of projects, services and clients and is looking for an Office Administrator/Project Controller (Junior) to support our Whitehorse team in the renewables and/or mining sectors. Duties & Responsibilities:
  • Proactively coordinating tasks required by the management team including managing calendars with attention to accuracy and detail, setting appointments and meetings, making arrangements, coordinating schedules, creating documents
  • Participating in weekly Scheduling/Project Controls meetings where we balance workloads, share lessons learned and continuously improve the team?s technical knowledge, and build a rewarding interdependent team environment
  • Supporting Project Managers with budget, schedule, progress, and status reporting to address client-facing reporting requirements
  • Monitor project work in progress and accounts receivable conditions to optimize cashflow
  • Updating forecasted estimate to completion and ensuring most current knowledge are registered in the company?s financial monitoring system
  • Making sure that the office is organized, stocked, and running smoothly, ordering supplies, arranging necessary repairs and modifications
  • Supporting company events and activities, health, safety, and wellness initiatives
  • Managing ad hoc office related administrative tasks including expenses
  • Establish work priorities and ensure procedures are followed and deadlines are met;
  • Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation;
  • Oversee and co-ordinate office administrative procedures.
  • Documentation and record keeping
  • Preparation and editing letters, transmittals, and reports
Qualifications
  • 1 -2 years? experience in a multi-disciplinary project environment, with exposure to cost control, planning and scheduling, change management and progress measurement;
  • An awareness and understanding of the fundamentals of project management.
  • Ability and willingness to wear multiple hats, multi-task, manage quickly changing priorities, and follow through tasks to completion
  • Computer savvy and proficient with Word, Excel and Outlook
  • Excellent verbal and written communication skills
  • Punctual, reliable, friendly, positive, and motivated
  • Attention to detail, ability to manage a variety of tasks concurrently
  • Knowledge of basic accounting principals
