Position Requirements:



- at least 10 years of legal experience in the areas of office adminstration, bookkeeping, and if possible, trust accounting;

- superior knowledge of business English, spelling, punctuation, and math;

- ability to prioritize and adapt to changing demands;

- attention to detail;

- ability to complete multiple concurrent tasks with tight deadlines;

- ability to self-direct and work independently;

- knowledge of relevant computer applications to produce legal correspondence and documents; and

- ability to learn further software related to the job.

You will provide administrative and bookkeeping support to our office with established wills and estates practices. Your responsibilities will include:

- Managing day-to-day office administration, including oversight of office procedures, coordination of staff needs, and ensuring the smooth operation of all administrative functions within the firm.

- Maintaining the firm's general books and records, including accounts payable, accounts receivable, invoicing, and preparation of monthly financial reports for review by management.

- Performing full trust accounting duties in accordance with the Law Society of British Columbia's trust accounting rules, including recording trust receipts and disbursements, reconciling trust accounts, maintaining client ledgers, and preparing monthly trust reconciliations.

- Preparing and processing client bills, trust transfer requests, trust cheques, general cheques, and payment requisitions, ensuring accuracy and compliance with firm policies and regulatory requirements.

- Coordinating payroll and employee expense reimbursements, maintaining payroll records, and liaising with the firm's external accountant as required.

- Managing vendor relationships, including payment of invoices, monitoring account balances, and ensuring timely remittances of government filings (GST, PST, source deductions, WorkSafeBC, etc.).

- Assisting the firm's management with budgeting, cash-flow tracking, and preparation of financial summaries or reports for partners or department heads.

- Responding to internal and external inquiries regarding billing, payments, client account balances, and general administrative matters in a timely and professional manner.

- Supporting new client intake and conflict-check processes, including opening and closing files, maintaining client records, and ensuring proper documentation and file management protocols.

- Maintaining office inventory and supplies, coordinating service providers, managing equipment maintenance, and ensuring the office environment remains organized and operational.

- Collaborating with lawyers and staff to support administrative workflows, improve efficiencies, and ensure compliance with firm standards and regulatory obligations.

: 8:30 to 4:30 or 9 to 5, Monday to Friday

Salary

: $90,000+ depending on experience
