Job Summary:
We are seeking a detail-oriented Office Administrator/Bookkeeper to join our team. The ideal candidate will be responsible for overseeing the daily administrative operations of the office & bookkeeping, ensuring efficiency and professionalism in all tasks.
Responsibilities:
- Manage office supplies inventory and place orders when necessary
- Coordinate and schedule appointments, meetings, and events
- Handle incoming and outgoing correspondence
- Maintain organized filing systems both electronically and physically
- Oversee front desk activities including greeting visitors and answering calls
- Assist in training development for new staff
- Manage vendor relationships and oversee office maintenance
- Provide administrative support to various departments as needed
-Book hotels, appointments and over see expenses for employees
Skills:
- Strong team management skills to coordinate office activities effectively
- Excellent organizational abilities to maintain a structured work environment
- Experience in vendor management to ensure smooth operations
- Proficient in general administrative tasks such as filing and data entry
- Ability to develop training programs for staff
- Knowledge of front desk operations and phone etiquette
-Manage accounts payable and receivables
-Prepare financial statement's
-Conduct financial auditing to ensure compliance with regulatory requirements
-Conduct account reconciliations to maintain accurate cash flow records
-Utilize accounting software such as QuickBooks and Service Titan
-Collaborate with all departments to gather necessary financial information for reporting purposes
-Maintain organized financial records for documentation of audits and reviews
Qualifications
-Experience with business that run 10 million plus
-Proven experience as a bookkeeper or similar role in financial services
-Strong knowledge of accounting principals and practices
-Proficiency in accounting software (QuickBooks)
-Strong communication skills
-Knowledge of Microsoft Office, Word, Adobe, Excel
-Scheduling experience
-Filing
