Role Description
We are seeking a highly organized, detail-oriented, and proactive Office Administrator to manage daily administrative operations, shipping and logistics coordination, and provide support across departments including sales and finance. The ideal candidate will possess excellent communication and multitasking skills, and must be proficient in office tools, logistics workflows, and QuickBooks for bookkeeping.
Responsibilities
Administrative & Office Operations
Manage daily office functions: email correspondence, phone calls, mail handling, and file organization
Maintain schedules and coordinate meetings or appointments
Manage vendor communications
Assist management with general administrative support tasks
Collect and process utility bills; ensure timely payments
Maintain internal databases, inventory sheets, and transaction records
Logistics Coordination
Request and compare freight and overseas shipping quotes
Schedule pickups, deliveries, and rigging services with freight companies
Coordinate international transport logistics, including loading timelines
Track ongoing shipments and manage logistics documentation
Work closely with suppliers, riggers, and freight partners to ensure smooth operations
Accounting, Bookkeeping, and Sales Support
Use QuickBooks for invoicing, receipt tracking, and expense entry
Record payments, reconcile transactions, and assist with bookkeeping tasks
Support with internal financial reports and assist accounting team as needed
Respond to customer and vendor inquiries professionally
Assist in updating product information to the company website (as needed)
Required Qualifications
Bachelor's degree in Business Administration, Commerce, Finance, or a related field (preferred)
2-5 years of experience in office administration, logistics coordination, or accounting
Proficient in Microsoft Office (especially Excel), email systems, and phone handling
Experienced in QuickBooks or similar accounting software
Strong organizational, multitasking, and problem-solving abilities
Excellent written and verbal communication skills
Prior experience in logistics/trucking coordination is a must
Experience in accounting is preferred
