Job Summary


We are seeking a highly organized and detail-oriented Office Administrator/bookeeper to join our team. The ideal candidate will be responsible for overseeing daily office operations, managing vendor relationships, and providing administrative support to ensure the smooth functioning of the office. This role requires strong communication skills, exceptional organizational abilities, and a proactive approach to problem-solving.

Duties



Manage vendor relationships and negotiate contracts to ensure optimal service delivery. Record and maintain a business' financial transactions, such as purchases, expenses, sales revenue, invoices, and payments. Oversee human resources functions including recruitment, onboarding, and employee relations. Maintain effective phone etiquette while handling incoming calls and inquiries professionally. Supervise office staff and coordinate team activities to foster a collaborative work environment. Organize and maintain office files, records, and documentation in an efficient manner. Assist in budgeting processes by tracking expenses and preparing reports as needed. Communicate effectively with team members and external partners to facilitate smooth operations. Perform clerical duties such as data entry, scheduling appointments, and managing correspondence.

Qualifications



Proven experience in an administrative role or similar position is preferred. Experience in bookkeeping and the use of Quickbooks online. Strong organizational skills with the ability to prioritize tasks effectively. Excellent verbal and written communication skills are essential. Experience in vendor management and human resources is a plus. Proficiency in office software applications (e.g., Microsoft Office Suite) is required. Ability to supervise staff while fostering a positive team environment. Strong budgeting skills with attention to detail in financial reporting.
