JOB DESCRIPTION
Job Title: Office Administrator
Organization: Status of Women Council of the NWT
Location: Yellowknife, NT
Work Arrangement: This is a temporary, office-based position located in Yellowknife, NT.
Purpose
Reporting to the Executive Director, the Office Administrator provides financial, reception, clerical, and administrative support to the Status of Women Council of the NWT and staff. The position is also responsible for developing and organizing events throughout the Northwest Territories. As a team member, the Office Administrator contributes to furthering the goals and objectives of the Status of Women Council.
Key Responsibilities
Provide Administrative Support
Record and prepare minutes of Council meetings.
Arrange travel for Council members to attend meetings and other approved travel.
Maintain employee records (e.g., leave and attendance).
Assist with typing, editing, and photocopying correspondence, reports, and other documents for Council staff and members.
Compose routine correspondence.
Maintain and update the video and resource library and catalogues; preview videos and prepare description summaries.
Establish and maintain mailing lists.
Prepare and book advertising and PSAs.
Assist in maintaining social media accounts and website.
Monitor office supplies and resource use; order or print as required.
Monitor current women's issues through periodicals, reports, newspapers, and online sources;
disseminate relevant information to staff and Council members.
Provide Reception and Clerical Duties
Prepare and distribute information packages or board packages.
Prepare materials and binders for Council meetings.
Respond to telephone, email, and walk-in inquiries from the public; refer as appropriate.
Maintain both physical and electronic filing systems.
Sort, record, distribute, and process mail.
Supervise and assist with large-volume mail outs.
Disseminate resources to community groups as requested.
Ensure maintenance and operation of office equipment (photocopiers, computers, telephones, fax,
etc.).
Event Planning and Coordination
Plan and coordinate Council's annual events and activities.
Coordinate the Council newsletter, produced twice annually.
Develop advertising and promotional materials for special events.
Collate information packages.
Assist with workshop logistics and planning.
Prepare reports on annual events as required.
Plan the annual Christmas Open House.
Team Building
Work cooperatively as a team member with staff and collaborate on Council initiatives.
Under the direction of the Executive Director and workload permitting, coordinate and assist with Council initiatives.
Communicate Council goals to community groups and promote projects in communities.
Develop and carry out a professional development and self-care plan (with approval from the Executive Director).
Carry out other duties as assigned.
Knowledge and Skills - Proficiency in word processing, spreadsheets, databases, and design software (e.g.,
Simply Accounting, Microsoft Suite, Internet, Adobe Suite, Squarespace, E-mail). - Knowledge of records
management and filing systems. - Strong understanding of budgetary and financial systems. - Experience in minute-taking and meeting preparation. - Broad knowledge of social, economic, and cultural issues affecting women and families. - Workshop research, organization, and facilitation skills. - Understanding of
Community development and self-empowerment approaches. - Ability to integrate creative and empowering methods (e.g., drama, storytelling, poetry) into events. - Facilitation experience is an asset. -
Excellent interpersonal and public relations skills. - Strong organizational and time management abilities. -
Ability to work under minimal supervision and as part of a team. - Second language proficiency (particularly
an official language of the NWT) is an asset. - Knowledge of resources available to women and children. -
Commitment to self-care. - Strong oral, written, and presentation skills. - Cultural and cross-cultural
competence, including sensitivity to diverse communities. - Knowledge of the Council's operations and
activities. - Post-secondary education in a related field is an asset. - Willingness to travel is a definite asset.
Working Conditions and Effort - Requires accuracy and attention to detail. - Extended periods of sitting at
meetings or working at a computer. - High volume of client inquiries and multitasking. - Occasional travel,
which may involve challenging conditions (e.g., climate, accommodations, limited services). - May interact
with emotional or crisis-affected clients. - Multi-tasked work environment. - Occasional overtime, including evenings or weekends, as approved by the Executive Director.
Hours of Work: Monday to Friday, 9:00 a.m. to 4:30 p.m., with a one-hour lunch break.
Job Type: Part-time
Pay: $37.90-$45.27 per hour
