Located in the heart of River Heights, we are a vibrant church committed to being inclusive and nurturing. We have regular services on Sunday mornings and host several other church and community events during the week.
Our Office Administrator is an important part of the church team. By assisting with internal and external communications, and managing administrative and financial tasks, they help us present our best selves to our parishioners and to the community.
Notes:
There is no expectation that the Office Administrator would become a member of our church or attend regular services.
The 12 hours/week are currently scheduled from 8:30am to 12:30pm on Tuesday, Wednesday and Thursday.
Responsibilities:
1. EXTERNAL COMMUNICATIONS
The Office Administrator will develop PowerPoint slide shows for worship services, bulletins, worship materials, e-news and e-blasts, maintain the church's website, electronic sign, and social media channels, and manage the church's calendar.
2. INTERNAL COMMUNICATIONS
Facilitate internal communications between staff, the Church council, and various committees.
Assign worship volunteers and send weekly reminders.
Organize mailboxes and bulletin boards.
Maintain documented office procedures.
3. MISCELLANEOUS ADMINISTRATIVE SUPPORT
Reception, maintaining office supplies, overseeing maintenance of office equipment, assist with special events.
4. RECORDS MANAGEMENT
Ensuring church records are appropriately filed and kept safe, including the annual year-end archival of older records.
Maintain the church directory.
5. BUILDING MANAGEMENT
Maintain a calendar of events, administer church keys and alarm codes.
Serve as the point of contact with renters and potential renters.
EDUCATION LEVEL:
Completion of Grade 12 or equivalent required.
Advanced skills in Microsoft Suite required (particularly Word, Excel and PowerPoint).
Training in at least one of the following is desirable: social media, public relations, creative communications or digital ministry.
Formal training in office skills is desirable.
EXPERIENCE:
Previous office experience is required; previous church administration would be an asset.
Demonstrated organizational skills.
Better than average competency in Google Applications (particularly GDrive, GDocs, and Gmail) required.
Better than average competency in Facebook, Instagram, and Canva are desirable.
Experience with ChurchWatch software, or a similar database program desirable.
PERSONAL CHARACTERISTICS:
Extremely reliable with excellent attention to detail.
Strong sense of customer service.
Great team player.
Self-starter who can work with minimal supervision.
Must comply with St. Mark's Vulnerable Persons Policy.
PHYSICAL ABILITIES:
Fit enough to perform 4 hours of office work per day. Able to lift and carry 25 pounds.
Must be able to manage stairs.
