Overview


We are seeking a highly organized and proactive Office Administrator to join our team on a temporary basis of 12-18 months to cover a maternity leave. This role is vital in ensuring smooth daily operations, managing administrative tasks, and supporting team members across various departments. The ideal candidate will possess strong communication and organizational skills, with experience in office management, document control, and human resources functions. Responsibilities



Oversee front desk operations, including greeting visitors and managing multi-line phone systems with professional phone etiquette Handle clerical duties such as filing, data entry, and document management to maintain organized records Manage vendor relationships and coordinate procurement processes to ensure office supplies are stocked and equipment is maintained Supervise administrative staff or team members when applicable, providing training & development opportunities Coordinate scheduling for meetings, appointments, and company events while managing office calendars Maintain a professional environment by ensuring cleanliness, organization, and adherence to company policies Track office supplies and place orders when necessary Coordinate office activities and operations to efficiency and compliance with company policies Run errands as necessary Other duties as assigned

Skills



Strong proficiency in QuickBooks for bookkeeping and payroll functions Excellent front desk skills coupled with professional phone etiquette and communication skills Experience with clerical tasks such as filing, data entry, and document organization Office experience demonstrating familiarity with multi-line phone systems and vendor management Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Track office supplies and place orders when necessary Effective team management skills fostering a collaborative work environment
