We are seeking a highly organized and detail-oriented
Office Administrator
to join our team. The ideal candidate will have a strong background in office administration, with experience in managing various office functions including shipping coordination, import/export documentation, and accurate data entry. This role is essential for ensuring the smooth operation of our office, supporting staff across departments, and maintaining effective communication with clients, vendors, and partners.
Responsibilities
Oversee daily office operations, ensuring efficiency and effectiveness in all administrative tasks.
Manage front desk activities, including handling phone systems and responding to inquiries with professionalism.
Maintain accurate records through filing, data entry, and bookkeeping practices, utilizing QuickBooks for financial management.
Ensure proper record keeping for shipping, import/export activities, and regulatory compliance.
Assist with human resources functions, including payroll processing, employee onboarding, and maintaining confidential personnel records.
Coordinate vendor management to ensure timely delivery of supplies and services.
Support shipping operations by preparing shipping documents, arranging pickups, monitoring delivery schedules, and resolving discrepancies.
Handle import/export documentation, ensuring compliance with customs regulations and international trade requirements.
Support budgeting activities by tracking expenses, monitoring invoices, and preparing financial reports as needed.
Communicate effectively with team members, clients, vendors, and logistics partners to maintain strong relationships and ensure smooth workflows.
Skills
Proficiency in QuickBooks for financial tracking and reporting.
Strong front desk management skills with excellent phone etiquette.
Experience in human resources functions, including payroll management.
Solid bookkeeping experience to maintain accurate financial records.
Previous office experience with clerical duties such as filing and data entry.
Exceptional organizational skills to manage multiple tasks efficiently.
Strong communication skills, both verbal and written, for effective interaction with diverse audiences.
Ability to manage vendor relationships professionally and effectively.
Job Types: Part-time, Permanent
Pay: $25.00-$30.00 per hour
