The Opportunity
The Operational Anchor of Our Team ! We're looking for a proactive, detail-oriented
Office Administrator
to be the organizational backbone of our team. If you're the kind of person who keeps everything (and everyone) running smoothly -- juggling tasks, managing schedules, streamlining communication, and making the complex feel effortless -- this role is for you. You'll be at the heart of daily operations, supporting executives and multiple departments, all while bringing fresh energy, sharp coordination skills, and a solution-focused mindset to our growing team.
Executive Support & Scheduling
Own the executive team's calendar and keep everything running smoothly. You'll coordinate meetings, manage logistics, and handle agendas and minutes -- ensuring nothing falls through the cracks.
Communications & Correspondence
Be the communication hub for the office. You'll manage emails and calls, craft and polish internal/external messages, and keep information flowing clearly and professionally across all levels.
Team & Departmental Support
Support HR, finance, and marketing with essential tasks like onboarding, recordkeeping, invoice tracking, and cross-team coordination. You're the glue that holds it all together.
Documentation & Reporting
Maintain streamlined digital and physical filing systems. Prepare reports, presentations, and data entries that drive decision-making and keep teams informed and aligned.
Office Operations
Keep the office stocked, equipped, and running at peak efficiency. You'll manage supplies, coordinate with vendors, and step in for basic IT or facility support when needed.
Event Planning & Coordination
Lead the planning of meetings, team events, and conferences. From catering to invitations to tech setup -- you'll ensure every event runs without a hitch.

Requirements: What We're Looking For
2+ years in an admin, coordinator, or executive assistant role
Strong communication, organization, and multitasking skills
Proficient in Microsoft 365 ; familiarity with Google Workspace, Zoom, Asana, etc.
Discreet and trustworthy with confidential information
Bachelor's degree preferred
Proactive, resourceful, and ready to take initiative
