Who we need





The Office Administrator is responsible to provide exceptional care for Securian clients, employees and guests and embrace the company values. In this role you will be accountable to receive and reroute all incoming phone calls, welcome all visitors and employees in the office, and handle basic office administrative tasks.

This role is located in Toronto and you will be required to be in office five days per week, supporting key business hours 8:00 a.m. to 4:30 p.m. Monday through Friday.

What you will do





Reception and Customer Service

: Receive visitors at the front desk professionally, welcoming and directing them. And provide outstanding customer service to internal and external customers, clients and employees.

Mail Management:

Manage all outgoing and incoming mail, and FedEx shipments including IT equipment deliveries and returns.

Expenses, Payments, Invoices:

Collaborate with Finance and coordinate payments for invoices, and help manage expense claims for Senior Leadership Team when applicable.

Events:

Order catering and provides support with in office all employee events and/or external social celebrations such as: Summer All Employee Event & Year End event.

Office Maintenance:

Ensure reception area, and visitor areas, boardroom/meeting rooms, kitchen, and common areas are maintained and presentable. This includes maintaining kitchen and office equipment, ensuring that all is good working condition. Will report any issues to appropriate department IT and/or Facilities.Place orders for office and kitchen supplies within budget and maintain inventory. Advise leader of any issues and help to provide solutions.

Executive Support:

Co-ordinate booking of meetings & meeting rooms. Manage calendars of select senior leadership members and provides general admin support. Manage and assist Senior Leadership team with travel bookings/arrangements when required.

What you will bring





Experience:

Work experience in a front office/reception role required, secondary school education preferred.

Communication:

Fluent English proficiency and excellent verbal and written communication skills are required. You will be able to converse with diplomacy and demonstrate courtesy and respect.

Professionalism:

Professional business appearance and demeanor. Punctual and responsible with managing commitments. And confident, mature and able to work under pressure in a dynamic environment.

Managing work:

Well organized, with good time management skills and ability to prioritise, multi-task effectively, and deliver work with high attention to detail and error free.

Technical skills:

Proficiency in Microsoft Office Suite (especially in Excel, Word and Outlook. Knowledge of cloud-based phone system (ideal) and office equipment (e.g., printer, fax machine, etc.)

Qualities:

Embrace a high-performance culture, exhibit enthusiasm and promote a team environment. Be a self-starter who takes initiative and has a common sense approach to problem solving.

The base salary range for this role is $45K-60K CAD. The actual salary offered will take into consideration individual skills and experience, education and training, the market compensation of the role, and internal equity.###
