Responsibilities



Manage day-to-day office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy. Oversee scheduling and calendar management for executives and team members to ensure optimal time utilization. Coordinate event planning activities such as meetings, staff training sessions, and company events to promote team engagement and organizational growth. Supervise administrative staff, providing guidance, training, and development opportunities to foster a high-performing team environment. Handle vendor management by negotiating contracts, processing invoices using QuickBooks or similar accounting software, and maintaining positive supplier relationships. Maintain accurate bookkeeping records, including filing documents, managing budgets, and performing basic payroll functions in compliance with company policies. Support human resources functions such as onboarding new employees, managing employee records, and assisting with HR-related inquiries. Oversee office supplies inventory, order necessary materials, and ensure the workspace remains organized and efficient. Assist with medical office management tasks if applicable, including patient scheduling and record keeping. Ensure adherence to office policies by implementing effective phone etiquette, filing systems, and clerical procedures. Collaborate with teams across departments to streamline processes and improve overall office productivity.

Experience



Proven experience in office management or administrative roles within a professional environment. Supervising experience is highly desirable for leading administrative staff effectively. Familiarity with QuickBooks or comparable bookkeeping/accounting software is preferred. Strong background in schedule management, calendar coordination, and event planning. Experience managing vendor relationships and negotiating contracts or service agreements. Knowledge of human resources processes including payroll administration and employee onboarding. Previous exposure to medical office management or healthcare settings is a plus but not required. Demonstrated organizational skills with attention to detail in filing systems and record keeping. Excellent communication skills combined with professional phone etiquette for front desk interactions.
