At Spruce Acres Landscaping, our Office Administrator plays a key role in keeping our business running smoothly - from meeting Customers' expectations to helping peers with any help they might need, bookkeeping, and marketing. This role blends organization, communication, and problem-solving to make sure projects, people, and processes stay on track.

Responsibilities:



General duties (25%)

Keep documents, checklists, and job descriptions up to date Manage Google Drive, Customer folders, and Company contacts Order supplies, clothing, gifts, and promotional items Maintain Company asset lists and registrations Support President / Other duties as assigned

Human Resources (20%)

Prepare and process employee forms (TD1, T4, employee info, onboarding/offboarding checklists) Support recruiting: posting jobs, filtering resumes, and communicating with candidates Coordinate Orientation and Safety Day, and provide crews with safety forms Organize team meetings, events, and celebrations (anniversaries, Christmas Party) Keep track of employee days off, anniversaries, and milestones

Bookkeeping/Filing (20%)

Manage LMN and QuickBooksOnline data entry and settings Send invoices and receipts to Customers; maintain Accounts Receivable reports Reconcile VISA statements, check timesheets, and prepare payroll files Organize receipts and financial documents (both physical and digital) Collaborate with the external bookkeeping Company

Sales & Marketing (15%)

Follow up with Customers Manage info emails and first-contact checklists Help with advertising campaigns, greeting cards, and promotional materials Maintain Company websites

Project & Process Support (20%)

Assist with continuous improvement projects and operational reporting Help maintain budgets, reports, and scorecards Support process documentation and policy updates
