Hub Concrete Pumping, a provider of concrete pumping services to construction projects across New Brunswick, is seeking a detail-oriented Office Administrator to deliver day-to-day accounting and office operations. You'll manage the full accounting cycle for Hub and provide select support to associated companies as needed. The ideal candidate is accurate, organized, and proactive about improving processes.
What You'll Do
Accounting & Finance (Primary for Hub; support to associated companies as required):
Collect work order slips from operators and prepare accurate, timely invoicing.
Manage accounts receivable: track against contract terms, follow up, and reduce days outstanding.
Compile man-hours and run weekly/bi-weekly payroll.
Code, enter, and pay accounts payable.
Prepare in-house monthly financial statements and job cost reports.
Scan, file, and maintain digital records and supporting documentation.
Implement and maintain an AR tracking system aligned to contract documents.
Operations Support:
Monitor vehicle fuel usage, investigate anomalies, and issue usage reports to card/vehicle holders.
Ensure timely information flow between operations, dispatch, and finance.
Plan, coordinate, and streamline office procedures to increase efficiency.
Assist with implementing new accounting, time tracking, and project management software (data setup, testing, training).
Policy, Compliance & Administration:
Help develop and maintain the Hub corporate policies manual.
Manage insurance programs (vehicles, equipment, liability, environmental).
Interact with concrete pump operators.
Assist with equipment asset administration (buy/sell/transfer, financing, insurance, inspections, registrations).
What You Bring
Bookkeeping/accounting experience (construction or equipment services is an asset).
Solid understanding of full-cycle accounting, AR/AP, payroll, and job costing.
Proficiency in accounting software and Excel; comfort learning new systems.
Strong organization and follow-through; able to prioritize and meet deadlines.
Clear, professional communication with field crews, dispatch, suppliers, and management.
Discretion handling confidential and safety-sensitive documents.
Class 5 driver's licence and reliable commute to Scoudouc, NB.
Bilingual (English/French) an asset.
