We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and ensure smooth administrative functions. This role requires a versatile individual capable of managing various tasks, including clerical duties, vendor relations, and team coordination. The ideal candidate will possess strong communication and organizational skills, with experience in office management and human resources. The Office Administrator will play a key role in maintaining an efficient work environment, supporting staff, and facilitating effective communication across departments.
Responsibilities
Manage daily office operations, including front desk duties and multi-line phone systems.
Oversee calendar management, scheduling appointments, meetings, and events.
Coordinate event planning and logistics for company functions and meetings.
Supervise administrative staff and provide training & development opportunities.
Handle bookkeeping tasks such as QuickBooks data entry, payroll processing, and budgeting.
Maintain vendor relationships and manage procurement processes.
Assist with human resources functions including employee onboarding, record keeping, and compliance.
Oversee filing systems, document management, and record retention.
Ensure effective communication within the team through phone etiquette and clear correspondence.
Support medical office management tasks if applicable to the organization's needs.
Skills
Proven experience in office administration or office management roles.
Strong organizational skills with the ability to multitask efficiently.
Excellent communication skills, both verbal and written.
Proficiency in QuickBooks, calendar management tools, and multi-line phone systems.
Experience with event planning, vendor management, and budgeting processes.
Supervising experience with team management capabilities.
Knowledge of human resources procedures, payroll processing, bookkeeping, and clerical tasks.
Ability to handle front desk responsibilities with professionalism and courtesy.
Experience in medical office management is a plus but not required.
Demonstrated ability to develop training programs and support staff development initiatives.

Pay: $15.65-$23.74 per hour
