About the Role



The

Office Administrator

plays a vital role in keeping our office operations organized, efficient, and running smoothly. This position supports executive leadership while ensuring seamless coordination between departments. The ideal candidate is proactive, detail-oriented, and thrives in a dynamic environment.

This role is

fully in office

, Monday - Friday 8-4:30. Prior to applying, kindly check your commute.

Key Responsibilities



Executive & Administrative Support



Oversee all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence. Support the President with travel arrangements, meeting coordination, event planning, and presentation preparation. Conduct research and prepare reports, presentations, and correspondence as needed. Maintain confidentiality and discretion in handling sensitive information. Act as the gatekeeper for internal and external communications, including vendors, clients, and partners.

Office & Operations Support



Organize and maintain both physical and electronic filing systems. Be a backup to support incoming and outgoing mail, couriers, and deliveries. Prepare letters, invoices, and statements for mailing; operate postage and mailing equipment. Support with Employer Branding, and potential to support with Marketing initiatives. Be an active member of our Social Committee, helping plan both internal & external events such as: appreciation, fundraisers, tournaments, etc.

Personal Characteristics



Considerable knowledge of telephone etiquette, grammar, spelling, and correspondence filing. Positive attitude with a passion for creating a supportive, engaging work environment. Knowledgeable about basic office procedures; exceptionally well organized and detail oriented. Able to follow oral and written instructions effectively. Creative, resourceful, and able to work independently with minimal supervision. Strong memory and keen attention to detail. Thoughtful, dependable, and adaptable under pressure. Able to multitask and maintain composure in a fast-paced setting.
