We are seeking a professional, detail-oriented Office Administrator & QuickBooks Online Specialist to support both the financial and administrative infrastructure of our businesses. This role is ideal for someone who takes initiative, thrives in a fast-paced environment, and brings structure to complexity.
Role Overview
This hybrid role combines bookkeeping, financial systems management, and administrative operations. You'll start with an in-depth onboarding to review and organize current systems, then take ownership of daily financial operations and administrative execution across multiple entities.
Key Responsibilities
Review and clean up QuickBooks Online across all company entities
Reorganize the general ledger and chart of accounts for accuracy and consistency
Manage all core bookkeeping tasks, including:
Accounts payable & receivable
Bill payments and invoicing
Monthly reconciliations
Vendor onboarding and management
Track cash flow and identify discrepancies or improvement opportunities
Assist in the review of pro formas, budgets, and financial reporting
Manage digital file organization and administrative systems
Establish documented workflows to maintain operational efficiency
What You Bring
Expertise in QuickBooks Online and multi-entity bookkeeping
Solid understanding of accounting principles and financial operations
Exceptional organizational skills and attention to detail
Ability to prioritize, self-manage, and follow through consistently
Experience with G Suite, Dropbox, and remote administrative tools
Prior work with family-owned or multi-entity businesses is a strong plus
