About Us:

We are seeking a detail-oriented and proactive Part-Time Office Administrator to support our team and ensure smooth operations at our facility.
Key Responsibilities:
Financial and Billing:
Manage county subsidy processes monthly, ensuring completion by the first Friday.
Invoice families Monthly and reconcile payments, following up on outstanding payments.
Create invoices on Quickbooks, including following up on payments.
Enrollment and Administration:
Support new enrollments by scheduling start dates, conducting tours, and managing inquiries.
Collect enrollment paperwork, create profiles, and maintain child files.
Send offer letters and invoice deposits for new enrollments.
Facility and Maintenance:
Manage facility maintenance, including scheduling repairs and maintenance.
Maintain a list of tasks for the handyman and oversee maintenance schedules.
Materials and Supplies:
Manage materials lists and place monthly orders with suppliers.
Order marketing materials and manage team apparel orders.
Research suppliers for special events, rent equipment, and assist with decoration setup and takedown.
Event Coordination:
Prepare and manage Christmas events, including Secret Santa and gift preparation.
Book and coordinate outings, including transportation arrangements.
Manage the organization and logistics of special events and team activities.
Administrative Support:
Manage the daycare inbox, responding to calls and emails promptly.
Maintain the daycare master list and tracker, keeping information up-to-date.
Ensure general office organization, including filing, photocopying, and record-keeping.
Manage calendars, including events and team birthdays.
Replenish information kits and update team pictures on display.
Prepare and process various administrative documents.
Software and Data Management:
Use Google Docs, QuickBooks, and other software to manage administrative tasks.
Train team members on timesheet submission and ensure timely processing.
Create and manage document templates in Adobe and follow up as needed.
Qualifications:
Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, G Suite, and Quick Books).
Strong organizational and multitasking skills.
Excellent communication skills, both written and verbal.
Experience in billing, invoicing, and payroll processes.
Ability to work independently and as part of a team.
Previous experience in a daycare or educational setting is a plus.
