Office Administrator - Overview

The Office Administrator is responsible for ensuring the smooth, efficient, and organized operation of the office. This role supports daily administrative tasks, coordinates communication, manages documentation, and assists different departments to maintain productivity and professionalism.

Key Responsibilities

1. Administrative Support

Manage phone calls, emails, and general inquiries. Greet visitors and handle front-desk duties. Schedule meetings, appointments, and maintain calendars. Prepare and distribute memos, reports, and correspondence.
2. Office Operations

Maintain office supplies inventory and place orders when needed. Organize and maintain filing systems--both digital and physical. Coordinate office maintenance, repairs, and service requests. Ensure the workspace is clean, organized, and professional.
3. Documentation & Records

Manage company documents, contracts, invoices, and forms. Assist with data entry, document preparation, and basic reporting. Maintain confidentiality and follow company data-handling procedures.
4. Finance & Logistics (optional based on company)

Assist with bookkeeping tasks such as expense reports and invoice processing. Support payroll preparation by collecting timesheets or attendance records. Help with purchase orders, vendor communication, and basic procurement.
5. Communication & Coordination

Act as a point of contact between management, employees, suppliers, and clients. Support internal communication and announcements. Assist with event planning, staff onboarding, and training schedules.
Skills & Qualifications

Strong organizational and time-management skills. Excellent communication--written and verbal. Proficient with MS Office (Word, Excel, Outlook) and office equipment. Ability to multitask and prioritize tasks independently. Detail-oriented, reliable, and professional. Experience in an administrative or office support role is an asset.
Work Environment

Office-based role. Requires interacting with internal teams, clients, and vendors. May require occasional overtime during busy periods.
Job Type: Full-time

Pay: $23.00-$25.00 per hour

Experience:

Wholesale Office : 3 years (preferred)
