Summary
We are seeking an Office Administrator to join our dynamic team in Ottawa. In this role, you will be integral to our operations, ensuring smooth administrative processes that support our mission of delivering exceptional service. Your contributions will help us maintain our reputation as industry leaders.
Responsibilities are, but not limited to:
Provides administrative support to the Senior Office Manager (i.e. correspondence, research, reporting, data entry etc.);
Handles phone calls, emails and inquiries in a professional and timely manner; Supports positive relationships with external stakeholders, partners and clients; Drafts and/or edits communications, letters, emails, and presentations;
Maintains files and archives;
Coordinates logistics for a variety of meetings/events;
Assists in preparing for Prequalification submittals;
Assists with the onboarding process for new Employees;
Supports the annual review and updating of organizational policies and procedures;
Assists the H&S Coordinator with H&S requirements as needed;
Administers the online H&S management platform;
Organizes the Joint Health and Safety Committee (JHSC) and takes minutes at meetings;
Applies Health & Safety principles;
Collaborates as needed with the 3rd party H&S partner;
Supports the annual review and updating of organizational H&S policies and procedures;
Addresses any H&S related needs;
Coordinates the development and implementation of specific documents (i.e. site-specific safety plans);
Collects H&S data and prepares H&S reports;
Assists in educating workers, supervisors, managers and other leaders in the company about health and safety standards;
Assists in ensuring compliance with all Ontario Safety legislations;
Prepares Safety Talks, H&S Newsletters;
Assists with fleet management;
Ensures that all submitted reports have been addressed and are saved for future reference;
Other duties as required and Ad hoc projects as they arise
Qualifications Required:
Post-secondary education or a combination of education and work experience;
Experience in providing administrative assistance;
Experience in providing HR support;
Experience in Health & Safety;
Exceptional organizational skills that reflect the ability to perform and prioritize multiple tasks with excellent attention to detail;
Ability to maintain a high level of integrity and discretion in handling confidential information;
Ability to take initiative and make suggestions to improve processes;
Strong oral and written communication skills;
Excellent skills in Microsoft Office Suite products: Excel, Word, Outlook, PowerPoint, etc;
Bilingualism would be a strong asset.
