Role overview
We are seeking an Office Administrator who is creative, innovative, and eager to support a mental health clinic in reaching their goal of supporting folks in need of assessment and/or therapy services. As an Office Administrator, your role is pivotal in adding to a welcoming and warm environment and supporting the clinic as a whole.
A day in the life
Report directly to the Office Manager
Support the Office Manager in general administrative tasks
Answer incoming calls and emails with sensitivity, confidentiality, promptness, and mindfulness
Greet clients
Work with the team to create a friendly, welcoming, and inclusive environment
Collect initial client demographics
Support in booking initial clinical consultations
Assist clients in bookings of various assessment and therapeutic appointments
Adhere to PHIPA guidelines and maintain client confidentiality
Adhere to the clinic policies and procedures
Support in other duties as assigned
What you bring to the team
Excellent customer service skills, including answering telephone calls, greeting clients and responding to inquires
Excellent organizational, time management and prioritization skills
MS Office skills required, including Word, Excel, Outlook and PowerPoint
Strong interpersonal and communication (verbal and written) skills
The ability to work in a team environment and contribute to the overall success of the clinic
A forward thinking and collaborative mindset
Knowledge of the Jane App is an asset
Evening support with flexibility for day shifts as needed
A passion for supporting folks in their mental health journey
