Provide reception support, greet visitors, and answer inquiries.
Manage office communications, including phone calls, emails, and mail.
Maintain office supplies, equipment, and overall workspace organization.
Coordinate office schedules, meeting rooms, and daily operations.
Enter and maintain transaction files in brokerage systems (e.g., LoneWolf)
Prepare and upload MLS listings, descriptions, photos, and required forms.
Maintain agent records, licenses, and membership status with boards
Process incoming deposits (cheques, EFT, deposit slips).
Assist with commission disbursements, invoices, and expense tracking.
Record and update payments for office fees, monthly dues, and marketing charges.
Assist with general office errands and coordination with external vendors.
Support day-to-day operations to ensure the office runs smoothly.
Qualifications:
Minimum
1 year
of administrative experience, preferably in a real estate brokerage or related industry.
Strong knowledge of
real estate documents
, MLS procedures, and basic transaction processes (an asset).
Proficiency with office software, including
, both verbal and written.
Ability to work independently with minimal supervision while also supporting a team.
Strong organizational and problem-solving skills.
Fluent in
English
; additional languages (e.g., Mandarin or Cantonese) are an asset.
Knowledge of RECO, TRREB, and general industry guidelines is preferred.
