We are seeking a proactive and detail-oriented Office Administrator to manage the daily operations of our office. This role is essential for ensuring the office runs efficiently by providing comprehensive administrative support to all staff and Directors, maintaining accurate records, and delivering excellent customer service. The ideal candidate is highly organized, professional, and adept at problem-solving while maintaining strict confidentiality.
QUALIFICATIONS
ABILITY TO SPEAK IN BOTH OFFICIAL LANGUAGES (FRENCH and ENGLISH) is considered an asset.
Degree/Diploma/ Certificate in Business Administration or related field is strongly considered.
Administrative experience is an asset.
Experience with Sage is an asset.
Must have a valid driver's license and access to a reliable vehicle.
ROLES AND RESPONSIBILITIES
Administrative & Operational Support:
Responsible for the day-to-day office administration and providing administrative support as required.
Prepare and review documents, reports and other correspondence.
Obtain information to maintain and organize filing systems (electronic and paper).
Prepare and distribute meeting agendas, minutes, motions and follow up on action items.
Manage office inventory, supplies, and equipment.
Support social media correspondence and website maintenance.
Attend and participate in Board Meetings and corporate activities as required.
Input all daily & quarterly loan/payment/projects transactions
Financial Management:
Assist with bookkeeping tasks such as invoicing, expense tracking, and payroll preparation.
Maintain financial and operational records in compliance with company policies & bylaws.
Process accounts payable and receivable.
Complete the Corporation's routine banking.
Receptionist & Client Services:
Manage all incoming communications, including mail, phone calls, emails, and inquiries in a professional manner.
Provide information and support for clients, visitors, and vendors.
Schedule and coordinate meetings, appointments, and travel arrangements.
Compliance & Policy:
Ensure all office operations adhere to company policies, procedures, and relevant legislation.
Assist with preparing reports for management, board of directors, and external partners.
Maintain the confidentiality of sensitive information.
Work Environment, Compensation & Benefits
This is a full-time position, with standard office hours of Monday to Friday, from 8:30 a.m. to 4:30 p.m., with an unpaid one-hour lunch break from 12:00 p.m. The position may require flexibility to meet occasional deadlines, including potential overtime or attendance at evening meetings.
