Overview


We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, organizational, and communication skills, with experience in the daily functions of an AP / AR environment. This role offers an opportunity to contribute to a dynamic environment where attention to detail and multitasking are essential. Prior experience in the transportation industry is a plus. The Office Administrator will play a key role in ensuring smooth office functions, managing schedules, and supporting the AP / AR manager. This is a six month contract with the ability for renewal after the initial six month period of employment. Ability to work remote part of the time after initial training period

Key Responsibilities



Prepare and send customer invoices through the TMS System - direct to customer and through the factoring portal Verify documentation and ensure billing aligns with the required process for each customer. Coordinate event planning activities and assist with training & development programs Prepare and monitor aging reports and advise management on all outstanding customer payments. Input data into the designated system using approved formats and protocols. Maintain filing systems, manage documentation, and ensure compliance with organizational policies Provide excellent phone etiquette and customer service at the front desk

Skills



Proven experience in office administration, clerical work, or office administrative roles Strong organizational skills with the ability to prioritize tasks effectively Excellent communication skills--both verbal and written--along with professional phone etiquette Experience in vendor management, payroll, bookkeeping, and collections is preferred Ability to handle confidential information discreetly Demonstrated ability to manage multiple projects simultaneously while maintaining accuracy and attention to detail
Job Type: Part-time

Pay: $25.00 per hour

Expected hours: 15 - 25 per week
