Job Description


Business Need / Purpose of Role:
The Office Administrator is responsible for scheduling appointments, giving information to callers, and relieving officials of clerical work and minor administrative and business detail.
Objectives & Measurement
Key Responsibilities and Specific Accountabilities:

  • Entering and closing orders into SAP, ensuring accuracy
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer
  • Match all packing slips with appropriate invoice and PO and scan as a package to the appropriate electronic folder
  • Organizes and maintains filing system and files correspondence and other records. Scanning all documents to their appropriate electronic folder.
  • Answers and screens telephone calls
  • Arranges conference calls and Skype meetings
  • Coordinates appointed schedules and appointments
  • Greets visitors and contacts appropriate area or person, ensures visitor has the appropriate PPE and has completed the sign in documents.
  • Assists with research, and compiles and transcribes statistical reports
  • Makes copies of correspondence or other printed materials
  • Prepares outgoing mail and correspondence
  • Reviewing payroll and submitting same to the Payroll Department

Education and/or Experience:
  • High School Diploma
  • 0-2 years of experience
  • Excellent written and verbal English communication is required
  • Computer proficiency required (data entry, typing, scanning, etc)
  • French speaking would be an asset

Physical Demands:
  • Sit, talk, hear, and/or use hands to handle and touch objects
  • Stand, walk, stoop, kneel, or crouch
  • Specific vision abilities include close, distance, and peripheral vision, and depth perception
  • Ability to lift up to 10 pounds
