The Role



We are looking for a highly organized, proactive, and detail-oriented

Office Administrator

to support our operations. This role is ideal for someone who enjoys variety, takes initiative, and keeps a busy environment running efficiently.

You will manage administrative processes, documentation, communication workflows, supplies, scheduling coordination, and provide day-to-day support to the operations, field services, and projects teams.

What You'll Do:



Act as a point of contact for vendors, clients, and internal teams. Flag process issues early and escalate when errors from others impact your workflow. Maintain accurate filing, document control, and quality checks on incoming field reports. Handle incoming/outgoing emails, calls, mail, and ensure timely follow-ups. Support scheduling and coordinate meetings; prepare agendas, minutes, and track action items. Assist with travel arrangements and trip coordination when needed. Keep the office organized, clean, and running smoothly day-to-day. Manage office supplies, food supplies, equipment, and inventory with regular audits. Complete data entry, asset updates, and system updates with accuracy. Support operations, field services, and other departments with administrative tasks as required.

What We're Looking For:



Minimum 3 years of experience in a similar office administrator or administrative support role. Strong organizational skills with the ability to manage multiple priorities. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). High attention to detail with strong document accuracy and quality-checking habits. Ability to work independently with good judgment and prioritization skills. Team-oriented, flexible, and comfortable working in a fast-paced environment.

Nice to Have:



Previous invoicing experience (Harvest or similar systems). Familiarity with Monday.com, inventory systems or asset-tracking tools. Experience supporting field service, technical teams, or operations environments.
