We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, overseeing clerical functions, and supporting human resources activities. Priority will be given to those with experience direct billing to medical insurance companies or Indian Affairs insurance companies, such as NIHB, Bigstone, IRS, and BlueCross considered a huge asset.
This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Compensation:
$17-$20
Hours:
Monday-Thursday 8am - 430 pm
Duties
Oversee daily office operations, ensuring efficiency and effectiveness in all administrative processes.
Manage vendor relationships and coordinate with external service providers to maintain office supplies and services.
Maintain a high level of confidentiality when interacting with clients.
Create policies, organizational systems, visual aids, posters, etc.
Draft professional emails, write formal letters, manage content on website through Wix.
Supervise front desk activities, including greeting visitors and handling incoming calls through phone systems.
Assist with human resources functions such as onboarding new employees and maintaining employee records.
Basic accounting tasks, billing and financial record keeping.
Provide clerical support, including data entry, filing, and document preparation.
Lead team management efforts by coordinating schedules, meetings, and team events.
Ensure compliance with company policies and procedures while fostering a positive work environment.
Past experience direct billing to medical insurance companies or Indian affairs insurance companies, such as NIHB, Bigstone, IRS, and BlueCross considered a huge asset.
Requirements
Proven experience in an administrative or office management role.
Strong knowledge of human resources practices is preferred.
Familiarity with phone systems and effective communication skills.
Experience in vendor management and maintaining professional relationships.
Excellent organizational skills with the ability to multitask effectively.
Strong supervisory skills with experience in team management preferred.
Detail-oriented mindset with strong clerical skills.
Ability to work independently as well as collaboratively within a team.
