Summit Rentals Inc (SRI), a division of RSG International, provides roadside safety product rental services exclusively with specialized traffic safety contractors in Ontario, Western Canada, and Manitoba. The group supply\xe2\x80\x99s temporary roadside safety devices such as temporary construction barrier and crash cushions directly to traffic safety contractors working on MTO capital projects, municipal capital work and Public Private Partnerships. Summary

Reporting to the office coordinator, the Office Administrator (Co-Op) will help support operations and office services for the organization for the duration of the term. This includes office activities, accounts payable and receivable, asset tracking, asset returns, yard organization and checks, damages, rentals, daily operations, and general troubleshooting. This role is scheduled to run January \xe2\x80\x9924 to August \xe2\x80\x9824 (8 months)

Responsibilities

  • Work with the Summit Teams, Manager & Accounting department to ensure accuracy and timeliness of invoicing, purchase orders, work orders, reports in accordance with the financial calendar
  • Assist in the yearly review of standard operating procedures and quality documents
  • Utilizing current ERP system Jonas: Updates to Jonas Master Asset list pricing, Purchase orders, Receivable and tracking monthly
  • Creation of documents and excel tables as required
  • Organize and maintain documents on an outgoing basis, ensuring all documents have proper approvals as required
  • Asset assessment to determine the coast of repairs, purchasing used assets, categorizing state of assets
  • Assist in the issuance of yearly client rental agreement
  • Sending monthly reminder for monthly rentals per client agreement
  • Follow up weekly with Precaster plants for inventory updates
  • Scanning and copying of documents as required
  • Process Asset Repair Reports from field reports for Operations Supervisor to Sign off.
  • Asset tracking and management of internal and external yards \xe2\x80\x93 plan, organized and monitor inventory locations and flow of said assets
  • Yard maintenance and collaboration with other departments
  • Other duties as assigned.
Qualifications
  • Previous experience working in an office environment is an asset
  • Previous work as a coordinator is an asset
  • Currently enrolled in an accredited Ontario post-secondary degree or diploma program with a mandatory co-op placement (preferably within Business Administration)
  • Demonstrated time management, scheduling and organizational skills
  • Strong communication skills and results oriented with a sense of urgency and effective problem-solving skills
  • Must be flexible to changing business conditions and a fast-past work environment
  • Strong computer skills (Microsoft Office) specifically Excel, is an asset
