We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and human resources skills, with experience in supervising staff and managing office systems. This role is essential in ensuring efficient workflow, maintaining vendor relationships, and supporting overall office functionality. The Office Administrator will serve as the first point of contact for clients and staff, demonstrating excellent communication and phone etiquette.
Responsibilities
Manage front desk operations, including greeting visitors and handling multi-line phone systems
Oversee clerical tasks such as filing, data entry, and document management
Supervise administrative staff and coordinate team management activities
Handle bookkeeping duties using QuickBooks or similar accounting software
Assist with payroll processing and human resources functions such as onboarding and employee records management
Manage vendor relationships and coordinate procurement of office supplies and services
Support training & development initiatives for staff
Maintain office organization, including filing systems and office supplies inventory
Assist with budgeting processes and expense tracking
Ensure adherence to company policies and maintain professional communication standards
Skills
Supervising experience with team management capabilities
Proficiency in QuickBooks, bookkeeping, payroll, and vendor management
Strong front desk skills with excellent phone etiquette and communication skills
Extensive office experience with clerical and administrative responsibilities
Exceptional organizational skills to manage multiple tasks efficiently
Experience with human resources functions including onboarding and employee records
Ability to handle multi-line phone systems effectively
Proven training & development skills to support staff growth
Budgeting experience for financial oversight of office expenses
Excellent written and verbal communication skills to facilitate clear interactions within the team and with external contacts
