Job Overview


We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will have a strong background in office management and administrative support, with experience in supervising staff and managing various office functions. This role requires excellent communication skills, proficiency in QuickBooks, and a solid understanding of human resources and payroll processes. The Office Administrator will play a crucial role in ensuring the smooth operation of our office while providing support to both staff and management.

Duties



Oversee daily office operations, ensuring efficiency and effectiveness in all administrative processes. Supervise front desk activities, including managing multi-line phone systems and maintaining professional phone etiquette. Handle bookkeeping tasks, including payroll processing and vendor management. Assist with human resources functions such as recruitment, training & development, and employee onboarding. Maintain organized filing systems for both digital and physical documents to ensure easy access to information. Coordinate team management activities, fostering a collaborative work environment among staff members. Develop budgets and monitor expenses to ensure adherence to financial guidelines. Provide clerical support as needed, including scheduling meetings, managing calendars, and preparing reports. Assist in tracking staff performance. Creative contributions to website, branding, advertising, etc.

Qualifications



Proven experience in an office administration role with supervisory responsibilities. Proficiency in Microsoft office suite (MS Word, Excel, outlook). Strong organizational skills with the ability to prioritize tasks effectively. Excellent communication skills, both written and verbal, to interact professionally with staff and clients. Experience in human resources, payroll processing, bookkeeping, or related fields is highly desirable. Familiarity with vendor management practices and budgeting processes is a plus. Ability to work independently as well as collaboratively within a team environment.
