As an Office Administrator at Blue Ridge, you will ensure efficient operation of the Blue Ridge office by providing administrative support including invoicing and accounts receivable tasks, along with managing essential office administration.


Responsibilities:





The Office Administrator will be responsible for the following tasks:


General accounting tasks:





Preparing invoicing



Sending invoices to clients



Filing accounting documents



Various data entry


Job File Management:





Create and maintain job files for ongoing projects



Organize files in an accessible and systematic manner



Ensure all files are kept up to date


Buried Utility Identification:






Coordinate with utility companies to schedule and locate buried utilities for each project ensuring safety and compliance with regulations



Maintain proper records and documentation for each job


Billing and Sign-Off Preparation:






Prepare job files for billing purposes, including gathering all necessary documentation and paperwork



Coordinate with foremen to obtaining sign offs and approvals on job files



Maintain records related to job and billing status


Essential Office Tasks:






Organize physical and digital filing systems for all documents and records



Complete data entry, photocopying, scanning and other job duties as required



Reply to emails and provide excellent customer service to clients and employees



Assist with general office inquiries




Qualifications:




Experience in an office / business administration role Basic understanding of accounting processes Willingness to learn and develop within the role Strong computer skills including Microsoft Office Excellent organizational skills Ability to multi-task with high attention to detail Strong verbal and written communication skills Strong team player

Blue Ridge Excavating is an owner operated business that offers a flexible and casual work environment. This position is offered as a part-time position (approximately 32 hours per week). Employees must have their own transportation as public transportation is not available to our office. Phone call inquiries will not be accepted.
