The Role



Based on our recent growth and success, we are seeking a new member to join our Administration team as an Office Administrator. The ideal candidate will be a reliable, detail-oriented, self-driven, passionate individual who is able to operate in a dynamic team environment. The main duties of this hybrid role will be to provide administrative support, data entry, bookkeeping, document management, customer interactions, partner/vendor interactions, and inventory/warehouse oversight.

Responsibilities



Basic business bookkeeping including GL, A/P, and A/R.

Financial institution management and reconciliations.

Payment processing (Shop Pay, PayPal, sezzle etc.) management and reconciliations.

Administration and processing of refunds, cancellations, and financial changes to customer orders.

Administration of ecommerce reconciliations and financial integrations including charges, fees, gift cards, store credits, purchases, and payments.

Partner, Vendor, and Supplier transactions, processing, payments, and reconciliations.

Assist with inventory management and reconciliations.

Purchase order processing and administration.

Interaction with our key shipping partners (UPS, FedEx, and Canada Post) that will include the management and administration of claims, and import/export documentation.

Timesheet and payroll administration including filing of payroll taxes.

Employee group benefits and group investment administration.

Employee expense management and processing.

Administration, processing, and filing of all sales taxes in Canada (federal and provincial), the USA, United Kingdom, European Union and Norway.

Monitor and respond to calls, messages, and texts from external parties to our central phone system.

Monitor and respond to call and messages from external parties to our central WhatsApp platform.

Monitor and manage corporate email inbox(s).

Coordinate the receiving of deliveries and shipments.

Maintain a safe, clean, and organized work environment.

Assist other team members with other tasks as needed.

Requirements



Proven experience working in a business administration role.

Experience working with QuickBooks Online (QBO). A certification would be a distinct advantage.

Knowledge of bank, payment processing reconciliation, and payroll-related processes.

Proficiency with the Microsoft Office suite of products, specifically Excel, Teams, and OneDrive.

Experience working with ecommerce platforms, specifically Shopify.

Experience working with payment processing systems like PayPal, sezzle, or Affirm.

Experience working with shippers like UPS, FedEx or Canada Post.

Experience interacting with the CRA and CBSA (CARM).

Excellent attention to detail and organizational skills.

Ability to work independently and manage multiple tasks effectively.

Strong analytical skills with a focus on problem-solving.

Preference will be given to candidates who have completed, or are in the process of completing, a post-secondary education in business administration or similar.

Must be able to work a minimum of 40 hours per week and work occasional overtime when required.

Must be passionate about providing an exceptional customer experience.

Must have excellent attention to detail and strong organizational skills.

Must have good written and verbal communication skills and be able to thrive in a collaborative and team-based environment.

Must be able to perform under pressure and within tight timelines.

Must always be professional and friendly.

Special Requirements



All shortlisted candidates will be required to successfully complete a background check that may include a criminal records check, background check, identify verification, employment verification, and/or education verification.

Role Specifics & Compensation



This will be a full-time role, working Monday to Friday. Occasional overtime may be required, including weekends.

We offer a competitive compensation package which, after a successful 3-months probationary period, will include enrollment in our group benefits plan and group investment program.

Salary will be based on a 40-hour week and paid twice a month.

Vacation entitlement will include two-weeks in each year of service worked.

This role will be based out of our Calgary North-East office location.
