This role requires exceptional attention to detail, strong organizational skills, and the ability to handle multiple priorities in a deadline-driven environment. The Office Administrator will play an integral role in ensuring data accuracy, timely reporting, and effective communication between internal departments and customers.
Primary Responsibilities
Daily Duties:
Save and organize all Bills of Lading (BOLs) from the previous day to the company server
Complete and submit customer-specific reports
Review, approve, and process charges
Perform trip and operational data entry for daily activities
Invoice additional charges, scan documentation, and transmit completed invoices to customers
Additional Duties:
Respond to customer requests, including credits and proof-of-delivery documentation
Conduct trip audits and perform GPS data reviews to ensure compliance and accuracy
Any Additional duties assigned
Qualifications and Requirements
High school diploma or equivalent required; post-secondary education in Business Administration or a related field preferred
Preferred of 1-2 years of administrative or data entry experience (experience within the transportation or logistics industry is an asset)
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and general computer literacy
Strong analytical skills and attention to detail
Excellent organizational, time management, and problem-solving abilities
Strong written and verbal communication skills
Demonstrated ability to maintain confidentiality and handle sensitive information appropriately
