Overview


We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will be responsible for ensuring the smooth operation of our office environment, managing administrative tasks, and supporting various departments. This role is crucial in maintaining effective communication and coordination within the organization.

Duties



Serve as the first point of contact at the front desk, welcoming visitors and managing inquiries. Oversee vendor management, ensuring timely communication and coordination with external partners. Maintain accurate records and files, ensuring all documentation is organized and easily accessible. Utilize QuickBooks for basic financial tracking and reporting as needed. Assist with human resources tasks, including onboarding new employees and maintaining personnel files. Manage phone systems, directing calls appropriately and taking messages when necessary. Provide clerical support to various departments, including data entry, scheduling meetings, and preparing reports. Implement organizational systems to enhance office efficiency and streamline processes.

Requirements



Proven experience in an administrative role or similar position. Strong organizational skills with attention to detail. Proficiency in QuickBooks is a plus Familiarity with front desk operations and phone systems. Experience in vendor management is desirable. Basic knowledge of human resources practices is beneficial. Excellent verbal and written communication skills. Ability to multitask effectively in a fast-paced environment. Social Media use/ Tik-tok, Insta, Facebook

Qualifications



Fluent in the English language with excellent verbal and written communication skills

Proficient computer skills: MS Office (Word, Excel), Canva

Excellent customer service and interpersonal skills

Strong organizational skills

Demonstrate attention to a high degree of accuracy and detail

Ability to work as a team player in a fast-paced office environment

Experience working in an office environment

Knowledge of accounting functions an asset

Experience in the irrigation industry an asset
