We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will have strong administrative, clerical, and communication skills, along with experience in supervising staff and managing office systems. This role is vital in ensuring smooth workflow, efficient vendor management, and effective team coordination within a professional environment.
Duties
Manage front desk operations, including multi-line phone systems and greeting visitors with professional phone etiquette
Oversee administrative tasks such as filing, data entry, and maintaining organized records
Supervise office staff and coordinate team management activities to ensure productivity
Handle human resources functions including onboarding, training & development, and employee record keeping
Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and payroll processing
Oversee vendor management to ensure timely procurement of supplies and services
Assist with budgeting processes and monitor office expenses to stay within financial plans
Coordinate scheduling of meetings, appointments, and events to optimize office efficiency
Support administrative projects related to office operations and process improvements
Skills
Proven supervising experience with strong team management capabilities
Proficiency in QuickBooks for bookkeeping and payroll functions
Experience with front desk responsibilities and multi-line phone systems
Knowledge of human resources procedures including onboarding and training & development
Excellent communication skills with professional phone etiquette
Strong organizational skills for filing, document management, and workflow coordination
Ability to manage vendor relationships effectively
Office experience with clerical duties such as data entry, record keeping, and scheduling
Capable of handling budgeting tasks and expense monitoring
Demonstrated ability to work independently while supporting a team environment
