Genuwine Cellars is currently seeking an enthusiastic

Administrative Assistant

to join our team in Winnipeg, MB. This is a full-time position reporting to the CEO/Owner of the company and the General Office Director.

The

Administrative Assistant

plays an important role in ensuring the company's overall success by providing strong administrative support to all levels of staff and the CEO/Owner. The person we are looking for is a positive individual who can exude the company's reputable brand of luxury and provide "world-class" customer service and executive support. The ideal candidate possesses a strong work ethic, excellent communication skills, and an eye for fine details. This person is comfortable taking initiative and managing multiple priorities with tight deadlines.

PRIMARY JOB DUTIES AND RESPONSIBILITIES



- Manage the CEO's calendar of appointments and advise of upcoming commitments and responsibilities

- Coordinate domestic and international travel for the CEO and other staff including flights, accommodations, and car rentals

- Complete a variety of business and personal tasks for the CEO including completing expense reports, submitting insurance documents, coordinating monthly meetings, planning events, and much more

- Create various types of correspondence, presentations, and Excel spreadsheets for the CEO and other departments as required

- Prepare all paperwork required for the Install team to cross international borders, ensuring passports on file are updated and valid

- Help to create and implement office policies/ procedures and maintain office directories

- Maintain an organized and up-to-date storage system of electronic and paper files

- Assist with the onboarding process of new hires by coordinating account creation, systems and equipment set-up, and preparing the workspace with supplies

- Coordinate with outside contractors for services such as IT services, janitorial, lawn maintenance, snow removal, septic tank disposal, etc.

- Assist with the execution of company events such as BBQs, Christmas party, and other special events throughout the year including tradeshows (i.e. booking the booth, booking flights and accommodations for staff attending the tradeshow, and more)

- Acts as the point person for general 'housekeeping' and ensures the general cleanliness of the front lobby, office washrooms, design loft, kitchen, and conference rooms

- Other administrative duties as required

QUALIFICATIONS AND KEY COMPETENCIES



- Recent experience providing direct support to an Executive, CEO, or Director

- Experience with Microsoft Office suite (Word, Excel, PowerPoint)

- Experience with ASANA is considered an asset

- Exceptional attention to detail and ability to identify errors and inconsistencies

- Strong interpersonal skills

- Excellent time-management

- Ability to learn quickly and work with minimal supervision

- Ability to handle sensitive information with discretion

- Ability to conduct research and create reports and presentations

- Adaptability

WORKING CONDITIONS



- Standard 40-hour work week (Monday to Friday)

- Willing to work overtime if and when required

- A valid driver's license and reliable vehicle is required
