Job Description

We are seeking a highly organized and detail-oriented Office Administrator to support our Sales Manager in preparing quotations, proposals, and meetings. This role is crucial in ensuring smooth sales operations, accurate pricing documentation, and efficient office management.

The ideal candidate has experience in sales support, administration, and CRM management (preferably Zoho CRM), and is comfortable handling quotations, pricing documents, and sales coordination tasks.

Key Responsibilities:

Sales & Quotation Support:

Assist the Sales Manager in preparing quotations, proposals, and pricing documents. Review and format sales documents to ensure accuracy and consistency. Work with vendors and internal teams to gather pricing, product details, and service information. Track and manage customer requests, follow-ups, and sales pipeline updates.
CRM & Administrative Tasks:

Update and maintain Zoho CRM with customer information, deal progress, and proposal status. Generate sales reports, track KPIs, and provide data insights for the Sales Manager. Organize, schedule, and coordinate meetings, calls, and presentations. Assist with customer follow-ups, scheduling, and contract documentation.
Office Administration & Coordination:

Manage office supplies, correspondence, and document organization. Handle administrative duties such as email management, scheduling, and general office support. Support basic invoicing, expense tracking, and record-keeping tasks.
Required Skills & Qualifications:

Experience: Minimum 2+ years in an office administration or sales support role. Technical Skills: Proficiency in Google Workspace (Docs, Sheets, Gmail, Drive) and Microsoft Office (Word, Excel). Zoho CRM experience (or similar CRM) for sales tracking, customer management, and reporting. Basic understanding of pricing structures, quotations, and sales coordination. Organizational & Detail-Oriented: Strong ability to handle multiple tasks, track deadlines, and follow up proactively. Communication Skills: Excellent verbal and written communication skills for interacting with vendors, clients, and internal teams. Problem-Solving Mindset: Ability to anticipate sales team needs, work efficiently under deadlines, and troubleshoot minor issues.
Preferred Qualifications:

Experience in IT, technology, or managed services industries is a plus. Knowledge of Zoho Books, Zoho Desk, or basic invoicing systems is an asset. Background in customer service, procurement, or sales coordination is beneficial.

Pay: $19.00-$25.00 per hour
