Job Summary


We are seeking a highly organized and proactive Office Assistant to support our CEO in a fast-paced environment and keep our Victoria office running strong. The ideal candidate will possess exceptional administrative skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires a professional demeanor, excellent communication skills, and the ability to handle sensitive information with discretion.

Responsibilities



Manage the CEO's calendar using Outlook Calendar and Google Suite, ensuring optimal scheduling of meetings and appointments. Serve as the first point of contact for internal and external communications, providing exceptional customer service. Handle clerical duties including data entry, filing, and maintaining organized records for easy retrieval. Coordinate travel arrangements and itineraries for the CEO as needed. Prepare meeting agendas, take minutes during meetings, and follow up on action items. Assist in the preparation of reports and presentations for various stakeholders. Maintain office supplies inventory and manage front desk operations when required. Utilize phone systems effectively to manage calls and messages for the CEO.

Experience



Entry level so no relevant experience required. Service industry experience is a bonus Proficiency in Microsoft Office Suite (especially Outlook Calendar) and Google Suite is essential. Strong organizational skills with the ability to prioritize tasks effectively in a dynamic environment. Excellent verbal and written communication skills are necessary for effective interaction with diverse audiences. Familiarity with phone systems and customer service best practices is a plus. Attention to detail with strong data entry capabilities is required.

Pay: $40,000.00-$42,500.00 per year
