JOB SUMMARY



The Night Auditor is responsible for all duties and responsibilities of the Front Desk Associates as well as generate reports, settle credit card and debit card charges through batch processing, perform PMS and POS backups, reconcile daily receipts, tracing discrepancies and ensuring accuracy in every detail.

Serving guests at the front desk while providing the highest level of service possible in an efficient, courteous and professional manner by following Marriott standards of aggressive hospitality and adhering to guidelines and procedures. Performing Night Audit duties and responsibilities following operational standards.

JOB RESPONSIBILITIES



The Night Auditor is responsible to perform all duties of a Front Desk Associate.

Report to work on time, in proper and clean uniform, including name tag. Personal appearance and grooming must conform to standard.

Handle all duties according to hotel policies, procedures, internal rules and standards. Conform to cash handling procedures at all times.

Each Night Auditor is expected to carry out all reasonable requests by management which the night auditor is capable of performing.

Be knowledgeable about daily hotel operations, check daily event sheet, bulletin boards, Front Desk log Book and be up to date with changes, new procedures and events.

Get a daily briefing about extra ordinary events to effectively deal with all foreseen situations on a daily basis.

Have knowledge about room rates, packages, discounts and promotions and know how to handle each.

Have knowledge about guest rooms, locations, amenities, features and all other services offered by the hotel.

Have knowledge about the city, city events, the local area and attractions to provide the guests with all requested information.

Be disciplined at all times, stand alert and tall at the front desk, greet guests immediately and offer assistance before the guest needs to ask. Apply basic courtesy skills as defined by the G.U.E.S.T. model to interact positively with guests

Be familiar with the AM, PM and Night Audit daily checklist to ensure smooth daily operations.

Be knowledgeable about Marriott Rewards, and other frequent travelers programs.

Check with accuracy all wake up calls entered in the phone system. Verify if any discrepancy with report and correct when needed.

Knows how to operate PMS, POS and other front office equipment.

Process all reports for the end of the day; spooler log, room status report, condensed guest ledger, prepay report, bucket check, additional authorization, rate variance.

Checks front office accounting records for accuracy and, on a daily basis, summarizes and compiles information for the hotel's financial records. Tracks room revenue, occupancy percentages, and other front office operating statistics.

Balance all MGR accounts. MGR accounts for specific rate packages and internal accounts.

Knowledge on how to insert audit tape and why doing so for operations purposes.

Understand principles of auditing, balancing, and closing out accounts.

Do a backup of property files from the PMS system.

Print all daily closing reports from debit machines, front desk and Bistro.

Run Micros POS registry and backup.

Close all associates shifts and accounts and verify if no balance is due. If balance due, drop full amount in the safe.

Review close shift report and justify all rebates and refunds for management.

Run backup for the PMS system.

Balance all transactions from the restaurant and reconcile all receipts with closing report.

Provide management with a full daily closing report from the restaurant and front desk. Track room revenues, occupancy percentages, and other front office statistics. Summarize results of operations for management.

Prepare a summary of cash, check, and credit card activities, reflecting the hotel's financial performance for the day. Post room charges and room taxes to guest accounts including guest transactions not posted during the day by the front office cashier.

Verify Marsha interface status. Restart if needed. Call support if any issue.

Process all no-shows and cancelations.

Replenish all front desk collaterals to prepare for business day ahead and for smooth shift transition.

Provide Bistro server with occupancy of the day and daily events.

Verify all cameras are recording and up and running.

Other tasks as required

QUALIFICATIONS



Stand and walk for extended periods of time, see and read a computer screen and printed matter with or without vision aids, operate standard office equipment, use a telephone, hear and understand at normal levels on the telephone, speak so that others may understand at normal levels and on the telephone, reach overhead, grasp, push, pull, move or lift up to 30 lbs. on an occasional basis

Maintain safety by adhering to safety policies, and be responsible to report incidents/accidents immediately. Support all safety programs. Proceed with caution when walking on slippery floors and congested areas. Ensure that proper safety instructions are given before operating any equipment. Under emergency situations, the Front Desk Associate must be able to deal with the public in a professional and courteous manner.
