Company Overview:
We are a leading provider of non-destructive testing (NDT) and welding inspection services, specializing in delivering high-quality inspection solutions to a wide range of industries. We are currently seeking a highly organized and customer-focused Junior Dispatcher to join our team and support the efficient operation of our services.

Job Summary:
As the NDT Coordinator / Scheduler, you will work closely with the Operations Manager to manage the administrative aspects of our operations. You will be responsible for coordinating job schedules, communicating with clients and technicians, and maintaining accurate project documentation. The ideal candidate will have excellent attention to detail, the ability to work in a fast paced environment, strong customer relations experience, excellent communication skills (both written and spoken), and a proactive attitude to ensure smooth daily operations.

Key Responsibilities:

• Answer incoming phone calls and respond to emails from clients, providing information and addressing inquiries in a professional manner.
• Set up job folders for each new project, ensuring that all necessary documentation is complete and organized.
• Collect billing and project information from clients to ensure accuracy and timely processing.
• Schedule jobs based on client needs, technician availability, and operational requirements.
• Create work orders and send out dispatch emails to technicians with job details, including schedules and project instructions.
• Maintain communication with technicians and clients to ensure the smooth flow of information and timely job completion.
• Update and manage job status records, ensuring that all details are accurate and up to date.
• Assist with any administrative duties related to billing, invoicing, and project tracking.
• Work closely with the Operations Manager to ensure operational goals are met and client satisfaction is maintained.
• Provide excellent customer service, maintaining a positive and helpful demeanour when interacting with clients and technicians.
• Perform other administrative tasks as needed to support the operations team.

Qualifications:

• Previous experience in customer service, dispatching, or administrative roles, preferably in a technical or service-based environment.
• Excellent written and verbal communication skills in English, with the ability to effectively interact with clients and team members.
• Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
• Proficient in office software, including Microsoft Office Suite (Word, Excel, Outlook).
• Ability to work independently, demonstrate initiative, and problem-solve as issues arise.
• Proven track record in building positive relationships with customers, maintaining a friendly and professional demeanour.
• Highly detail-oriented with the ability to manage and organize various types of documentation.
• Ability to handle a fast-paced environment with a strong focus on accuracy and efficiency.
• Previous experience in the NDT, welding, or engineering sectors is a plus, but not required.

Job Type: Full-time

Pay: $22.00-$28.00 per hour

Expected hours: 40 per week
