Role Summary
We are looking for a detail-oriented and highly organized individual to join our team as a clerical assistant. The responsibilities of the clerical assistant include facility visitor reception duties, answering and directing calls, maintaining filing systems, data entry, assisting in staffing scheduler role when required, and assisting in other office related duties as required.
To be a successful clerical assistant, you should have excellent organizational and administrative skills. Ultimately, a top-notch clerical assistant should have good communication skills, strong customer service etiquette, and great computer skills.
Qualifications
High school diploma or GED.
Completion of an administrative course and or medical terminology.
A minimum of 1 year office experience.
Experience with staff scheduling or dispatching.
Competency with computers, physical and digital filing systems, and typing.
Strong written and verbal communication, interpersonal, and maths skills.
Good problem-solving skills.
Professionalism, discretion, and the ability to work with minimal supervision.
Effective time management with the ability to prioritize the workload and juggle different time-sensitive projects.
Ability to display maturity and honesty and be trusted with confidential information
Customer service focus.
Exceptional writing/reporting, scheduling, and research skills.
Highly Proficient in Microsoft Office.
Responsibilities:
Provide administrative support to ensure smooth office operations by assisting administrative team with data entry, document management, and file organization.
Provide assistance to Workforce Coordinator-Scheduler in data entry of employee schedules, time off requests, and serve as a back-up during peak and vacation periods.
Manage incoming communications by greeting and directing facility visitors, handling incoming calls- directing inquiries to the appropriate team members, mail sorting.
Maintain office efficiency supporting various processes using an organized, focused and thorough approach.
Adapt to evolving responsibilities as needed in a fast-paced and dynamic industry.
Sorting and distributing the daily mail.
Using office equipment to check emails, send faxes, make copies, and update computer databases.
Typing and data entry of forms, policy manuals, and other materials.
Sorting, filing, and maintaining filing systems for efficient recordkeeping and easy retrieval.
Completing assignments and projects according in collaboration with administrative team members.
Overseeing and assist new hires, and interns/co-op students.
