We're looking for our next Mortgage Operations Team Lead. Could It Be You?
The Mortgage Operations Team Lead will support the mortgage brokerage in servicing our clients from application submission to closing.
We are seeking a highly detail-oriented and experienced Mortgage Operations Team Lead to optimize and manage our loan processing lifecycle. This role is critical to ensuring a seamless, efficient, and compliant journey for all loans from initial submission to closing. You will be directly responsible for leading the processing team, overseeing the accuracy and completeness of all client documentation, coordinating communication between agents, clients, and lenders, and ultimately accelerating the time it takes to get clients to the closing table. In this role, responsibilities include but are not limited to:
  • Oversee and Drive Loan Pipeline: Manage and prioritize the team's pipeline of submitted mortgage applications, ensuring all files progress efficiently from submission through commitment and to closing.
  • Team Leadership and Quality Control: Lead and mentor a team of mortgage processors, conducting regular file audits and quality control checks to ensure all applications meet regulatory and lender submission standards
  • Lender Submission Management: Ensure accuracy and complete documentation to minimize lender resubmission requests and accelerate approval times.
  • Coordinate Internal & External Communication: Act as the central point of contact between the sales agents, clients, and underwriting/lender teams, efficiently relaying stipulations and status updates to prevent closing delays.
  • Clear and Satisfy Conditions: Proactively track, manage, and facilitate the timely collection and clearing of all lender conditions and underwriting stipulations to secure the final commitment.
  • Process Optimization: Continuously evaluate and refine internal processing workflows, documentation requirements, and system usage (e.g., LOS/CRM) to enhance speed, compliance, and client satisfaction.
  • Compliance and Reporting: Ensure all operational procedures strictly adhere to federal, provincial (e.g., FSRA/BCFSA/RECA), and lender compliance guidelines. Generate regular reports on processing times and team performance metrics.
  • Escalation Management: Proactively identify and resolve complex operational roadblocks (e.g., title issues, appraisal delays, difficult conditions), escalating system issues or high-risk files to management when necessary.
  • Training and Development: Develop and deliver training to new processors and provide ongoing coaching to the team on new lending products, guideline changes, and best practices in mortgage file processing.

  • Have a Level 1 Mortgage Agent License in Ontario (preferred)
  • Have 3+ years of mortgage experience
  • Have proven experience in a Mortgage Operations role at a digitally native brokerage
  • Have availability to work flexible hours, including some evenings or weekends, to meet client needs.
  • Have exceptional verbal and written communication skills
  • Have strong relationship-building skills with a customer-centric approach
  • Have proficiency with digital tools, CRM software, and communication platforms (e.g., Salesforce, POS, dialer)
  • Are able to work independently and manage a high volume of client interactions in a fast-paced environment
  • Have a high level of integrity, professionalism, and attention to detail
  • Have familiarity with various mortgage products, including fixed-rate, variable-rate, and home equity lines of credit
