: We are seeking a detail-oriented and proactive Millwork Purchasing Administrator to join our team. In this role, the successful candidate will play a key part in supporting the Purchasing functions for custom architectural millwork projects. The candidate will ensure timely and accurate processing of invoices, review purchase orders, and assist with communication to vendors and internal teams ensuring we keep projects running smoothly.
This position is ideal for someone who thrives in a fast-paced environment, enjoys working with people and systems, and has a strong eye for detail.
Key Responsibilities
Invoice Reconciliation:
Match vendor invoices to purchase orders and delivery receipts.
Scan packing slips to associated POs within ERP and (new) Accounting program.
Report discrepancies in pricing, quantities, and received goods to Purchasing Manager.
Purchase Order Support:
Prepare, submit, and track purchase order requests for materials, shop and office supplies.
Verify order details, pricing, and delivery timelines against project requirements.
Maintain accurate records of purchase orders in the company ERP system.
Procurement Coordination:
Source and communicate with suppliers to confirm lead times, availability, and pricing.
Follow up on outstanding orders and delivery schedules, advise Purchasing Team of any issues.
Support the Purchasing Manager with supplier evaluations and cost comparisons.
Documentation & Reporting:
Maintain organized purchasing files and supplier documentation.
Assist in updating material databases and price information.
Cross-Department Collaboration:
Support the front desk for volumes, lunch relief and urgent coverage needs
Qualifications
1+ years of experience in purchasing, procurement, or administrative support
Experience in millwork, manufacturing or construction is preferred.
Strong understanding of purchase order and invoice processes.
Proficiency in Microsoft Office (Excel, Outlook, Word) and ERP systems.
Able to navigate in Sage
Excellent attention to detail and organizational skills.
Strong communication and problem-solving abilities.
Ability to manage multiple priorities in a fast-paced environment.
